What Are Career Paths and Job Roles
A Career Path is a representation of how a team member progresses through their career at your company.
A Job Role is one of the stages a team member moves through as they develop within the Career Path. The name of a Job Role sounds similar to a job title. For example, you might have Junior Developer, Staff Developer, and Senior Developer Job Roles in a Career Path.
When you use Cloud Academy's curated Career Paths, you see a matrix of:
- The Job Roles in the order you expect a person to progress through them.
- The Smart Skills that are essential for team members on this Career Path.
Note: Technically you can add skills other than Smart Skills to a Career Path, but we recommend you use Smart Skills to get the most out of the Skills Readiness Solution. Learn more in the Smart Skills article.
At each point in the matrix, you see a number of stars, zero through three. The stars indicate how well the team member with this Job Role should score on that Smart Skill:
- 0 stars: This skill is not applicable for this Job Role
- 1 star: A member with this Job Role should have basic level ability in this skill
- 2 stars: A member with this Job Role should have intermediate level ability in this skill
- 3 stars: A member with this Job Role should have advanced level ability in this skill
You can use the curated Career Paths and Job Roles together with Programs to automate training. Within each Job Role, you can assign:
- Skills-based training programs: This type of Program assigns training on the Smart Skills in the Job Role to each team member with this Job Role, at the difficulty level appropriate to each team member.
- Content-based training programs: This type of Program assigns the content you choose to each team member with the Job Role. The level of difficulty is the same for all team members.
In either case, as long as the Program is running, the platform also assigns the training to any new team members who are assigned the Job Role. See the Programs article for more information.
How to Create a Career Path
Use the following steps to create a Career Path.
- From the dashboard, click the building icon from the top toolbar.
The enterprise menu appears. - Click Careers from the menu.
The Career Paths screen appears. - Click the Create a new Career Path button in the upper right corner.
The Start creating a Career Path screen appears. - Choose a Career Path and click Customize.
Important: You can also choose New career path instead of customizing an existing path. However, if possible, you should choose a Career Path to customize, especially if this is your first Career Path. The Career Paths on this list use Smart Skills that already have curated training available.
The Create a career path screen appears. - Complete the screen with the information for your Career Path:
- Customize the Name and Description for this Career Path, if desired.
- Add Smart Skills to the list by clicking Select or create a skill. You can scroll through the list of Smart Skills or start typing to search. If you enter a skill name that doesn't appear on the list, the platform considers it a custom skill and adds it to the list without the Cloud Academy icon.
Note: Custom skills cannot be measured with Smart Assessments or trained with Programs. We recommend using Smart Skills whenever possible to get the most out of the Skills Readiness Platform. See Smart Skills for more information. - Customize the names of the Job Roles in this Career Path, if desired. You can add Job Roles to the Career Path by clicking Add job role. If the Job Role you want does not appear in the list, type the Job Role name you want and click Create "<name>".
- Customize the number of stars a member needs in each skills for each Job Role. You can choose 0, 1, 2, or 3 stars.
- Click Save.
How to Assign a Team Member a Job Role
You can assign a Job Role to a user in multiple places:
- Add team members to the Job Role on the Career Path screen
- Add a Job Role value to the team member on the Organization screen
- Include the team members and their Job Roles in a bulk import, as described later in this article
After you have assigned the Job Role, you can see a member's Job Role in multiple places in the platform where you see members listed, such as:
Use the following steps to add members to a Job Role on the Career Path screen:
- From the dashboard, click the building icon in the top toolbar.
The enterprise menu appears, open to the Organization screen. - Click the Careers tab in the left-side navigation.
The Career paths screen appears with a list of the Career Paths in your account. - Open the Career Path that contains the Job Role you want to assign to members. Click the View detail link to open the Career Path.
The Job Roles that make up the Career Path appear. - Scroll to the Users section of the Job Role you want to assign and click the + icon.
The Assign job role to users window appears. - Click the Select link next to each team member to whom you want to assign this Job Role.
Tip: You can use the search box at the top of the window to find the team members you want. - Click the Assign job role to # users button.
The platform assigns the Job Role to the assigned users and closes the window.
How to Bulk Import Job Roles
You can import a CSV to create many Job Roles at once. The CSV must be formatted correctly for the platform to process it. You can use the provided CSV template to make sure your format is correct. The template contains two columns: email and job_title.
The email column is optional and the job_title column is required. If the job_title value does not exactly match a Job Role already in your account, the platform uses the name to create a new Job Role.
If you include email values, the platform assigns the Job Role to the member with that email. If the job_title value matches an existing Job Role in your account exactly, the platform assigns the member that Job Role. If the job_title does not exactly match, the platform creates a new Job Role with that name and assigns it to the member.
The member email address in the CSV must exactly match the email address of one of your members for the platform to assign the Job Role. If the email address does not match exactly, the platform ignores that row in the CSV.
Use the following steps to import a CSV of Job Roles into your account.
- From the dashboard, click the building icon from the top toolbar.
The enterprise menu appears. - Click Careers from the menu.
The Career Paths screen appears. - Click View job roles.
The Job roles screen appears. - Click the Import job roles button.
The Import Job Roles window appears.
Tip: This window contains a link to a CSV template. Use this template to ensure the platform can process your file correctly. - Click the Click or drag and drop your CSV here section to open a window to navigate your computer and find your CSV file. Alternately, you can drag the CSV from its location on your computer to this window.
- Click Import to start importing the file.
How to Add an Unstructured Job Role to a Career Path
If you import a CSV of Job Roles or create Job Roles by assigning them to members on the Organization screen, the Job Role is not a part of a Career Path. The platform calls these unstructured Job Roles. When you have unstructured Job Roles, a message like the following appears at the top of the Career Path screen.
You can add the unstructured Job Roles to a Career Path on the Job Role screen. Click View unstructured job roles from the alert or the View job roles button at the top of the screen.
When you select a check box next to a Job Role, a Create a career path button appears. If you want to include multiple Job Roles in the same Career Path, select the checkbox next to them before clicking Create a career path.
